It's not about your discipline.

You've tried everything. A new tool, a fresh start, this time for real. And after three weeks, the receipts are back in the shoebox, the invoice hasn't been sent, and the contract is waiting for a signature that's supposed to come by mail.

This isn't a character flaw. It's friction โ€” and it has an address: the gaps between your programs. Each one works perfectly. Together, they cost you the big picture.

What the research says

A Harvard Business Review study found employees switch between applications 1,200 times a day. The measured loss: about four hours per week, roughly nine percent of annual working time. Almost five work weeks. And 43 percent find the constant switching not just unproductive, but mentally exhausting.

The loss isn't on any invoice. That's why no one fights it.
One System, Not Seven Tools

Your business can't hold itself together anymore

Every part does its job โ€” and passes on what the next needs. Without you having to transfer anything.

Your Business

Everything that keeps it running โ€” in one place.

  • Tasks and Time

Who's up next, what are we waiting for โ€” and the clock sits on the task.

  • Vouchers and Accounting

Photographed, assigned, booked. Real double-entry accounting behind it.

  • Invoices and Dunning

From quote to payment โ€” and what's outstanding, reports itself.

  • Documents

Storage that organizes, instead of just filling up.

  • Contracts and Signatures

Generated from templates, electronically signed, verifiably filed.

  • Clients and Files

For everyone who works with people โ€” with their own secure cabinet for treatment data.

  • Website and Forms

The request from the page becomes a contact and a task. This page is built with that.

Pillar 1 of 4 โ€” Working

The day nothing slips through

  • Tasks that know their status

Who's up next, what are we waiting for, what's actually done โ€” instead of a list that treats everything the same.

  • Delegate without explaining thrice

The explanation lives with the task, not in a meeting nobody took notes for.

  • Time that tracks itself

The clock is attached to the task, not in its own program. Multiple tasks at once, because that's how work gets done.

  • Documents that sort themselves

Upload, photograph, forward โ€” the rest happens, and you just confirm.

  • And for minds that don't work linearly

Carry costs with tasks, not just urgency. Some days, itโ€™s not about whatโ€™s most important, but what you have the energy for.

Pillar 2 of 4 โ€” Billing

From receipt to tax โ€” one single track

  • Snap a receipt, book it done

Real double-entry accounting behind it: SKR03/SKR04, EรœR or balance sheet, DATEV export for your tax advisor.

  • Invoices that meet the requirement

ZUGFeRD is built-in โ€” the structured format that e-invoicing demands.

  • Open items that make themselves known

Dunning levels, deadlines, fees, sent by email or physical mail. Without you having to go through a list on Mondays.

  • Bank statement in, assignment done.

What belongs together, finds each other.

  • Even for private use

Assets, budgets, household โ€” the same engine, a different view.

The appointment you can't reschedule

As of January 1, 2025, every domestic company must be able to receive and process e-invoices. This includes small businesses โ€” no exceptions. When it comes to **issuing** them, it will become mandatory in stages: from 2027 for businesses with prior-year revenue over โ‚ฌ800,000, and from 2028 for almost everyone.

A PDF file via email is **not** an e-invoice. Structured formats according to EN 16931 are required โ€” XRechnung or ZUGFeRD.

Pillar 3 of 4 โ€” Closing

Signed, sent, filed โ€” same day

  • Sign where the process is

Simple, advanced, or with an organizational seal โ€” whatever the process demands.

  • Contracts from templates

Name, date, amount fill themselves from the contact. No more fields to forget.

  • Real postal letter, when paper is a must

Registered mail included, from the same window as email.

  • Proof that holds up in two years

Who saw what, when, and confirmed it โ€” logged, sealed, unalterable.

Think of the time saved: A Forrester study puts the turnaround time for agreements with electronic signatures at around two hours instead of seven days.

A note, because it's honest: The most impressive figures on e-signatures come from vendors who sell e-signatures. The Forrester figure is a statement about the category โ€” not about claritos.

Pillar 4 of 4 โ€” Caring

For everyone who works with people, not with orders

Practice, consulting, therapy: Here, the client is called a client or patient, and the file is something different from a customer file.

  • Files with their own secure cabinet

Reception and accounting need contacts โ€” but not treatment data. You decide who sees what, per person, not per role.

  • Intake forms that arrive

Multi-page, with conditions, and the details land in the file instead of a mailbox.

  • Call notes with history

Changes remain visible โ€” a note you can change without a trace isn't documentation.

  • And when someone from outside supports

Access to files is a decision about a person, not a company. That's exactly how it's built.

My team writes in Russian. I read in German. It's the same task.

โ€“ Dr. Anna Wohlthat

Anna's team works multilingually on the same tasks, documents, and finances. Not with translations lagging behind, but simultaneously.

Frankly: Anna is the founder's wife. She's still a real customer whose team actually uses it โ€” and we'd rather say it ourselves than have someone else find out.

In three steps

  1. 1
    Capture

Photo, forward, form, voice note โ€” whatever works for you.

  2. 2
    claritos organizes

Assignment, suggestion, draft. You confirm, instead of typing.

  3. 3
    Result

Invoice out, booking in, contract signed, deadline in sight.

What doesn't happen: Nothing is decided without you. Automatic here means prepared, not unsolicited.

What you're asking yourself now

Does this replace my tax advisor?

No โ€” and it shouldn't. It gives them what they need: clean bookings, DATEV export, receipts in the right place. Most businesses pay their tax advisor for sorting. That stops now.

Where is my data stored?

On servers in the EU. We don't share visitor data with external analytics services โ€” reach measurement is handled in-house. That's also why the page you're reading right now gets by without a consent banner.

I already have a system. Moving is too much for me.

Understood. Experience shows that the move fails not because of the data, but because of the week where both run in parallel. That's why we talk about it before you decide anything โ€” and we'll also tell you if switching isn't worth it for you.

What does it cost?

We'll discuss that in our conversation, as it depends on how much you use. What we can say right now: we price it against the sum of your current subscriptions, not on top of them.

And if I want to leave?

Your data belongs to you. Export in open formats, anytime. A system that keeps its customers through the exit door has a different problem.

Isn't this too much for my small business?

You use what you need. If you only want tasks and invoices, that's all you'll see.

Who isn't it for?

For corporations with their own IT department and a mature system landscape. And for everyone who is happy with their current setup โ€” then there's no reason to switch.

One place. Everything in it. Start with what hurts the most right now.

Tell us in three minutes how you work today. We'll honestly tell you if claritos helps you โ€” and if not, that too.
